How to Set Up Your Skills Framework in SmartSkills
In this tutorial, you’ll learn how to build your Skills Framework in SmartSkills, including how to create skills, add learning activities, group them under skill profiles, and assign those profiles to teams.
Step 1: Create Skills
From the main menu, navigate to SmartSkills → Skills.
You’ll see a list of all existing skills. To create a new one, click the ➕ (plus) button in the top-right corner.
Enter a Skill Name, for example:
Quality Control Standards – Line 1Select an Assessment Frequency (e.g., 1 year). This determines how often the skill needs to be reassessed.
Click Create to save the new skill.
Step 2: Add Learning Activities to a Skill
Learning activities are the resources operators use to develop their skills—such as videos, documents, or SwipeGuide instructions.
While editing your skill, click the ➕ Add Learning Activity button.
The Learning Activity Library will open on the right-hand side.
Search for and select the activities you’d like to add (e.g., Quality Control Best Practices and Performing Quality Control Measures).
The selected learning activities will be added to your skill automatically.
Click Save when finished.
Step 3: Create New Learning Activities
You can create new learning activities either before or while building a skill.
Option A: Create from the Learning Activity Module
From the main menu, go to SmartSkills → Learning Activities.
Click the ➕ (plus) button to create a new learning activity.
Enter the Activity Name (e.g., Defect Detection).
Add a brief Description (e.g., Read the step-by-step instructions).
Include a Link to the relevant SwipeGuide or resource.
Click Create. The new activity will now appear in your Learning Activity Library.
Option B: Create While Editing a Skill
While creating or editing a skill, click Add Learning Activity → Create New.
Enter a name (e.g., Surface Revision).
Add a short description and link to the SOP or resource.
Click Create — it will automatically attach to the skill you’re working on.
Step 4: Create Skill Profiles
Skill Profiles group multiple related skills together into a role- or team-specific skill set.
Navigate to SmartSkills → Skill Profiles.
Click the ➕ (plus) button to create a new profile.
Enter a Profile Name, for example:
Quality Assurance – Line 1Add relevant skills by searching and selecting them (e.g., Quality Control Standards and Visual Inspection Method).
Set the Required Skill Level for each (e.g., Intermediate).
Click Create to save your skill profile.
Step 5: Assign Skill Profiles to Teams or Roles
Once your skill profile is ready, you can assign it to a team or job title.
In the Skill Profile window, click Assign.
Choose whether to assign it to a Team or a Job Title:
Team Assignment: Everyone on that team will be responsible for the included skills.
Job Title Assignment: Only team members with that specific title will be responsible.
Example: Assign
Quality Assurance – Line 1to the Monterey Packaging Line 1 Filler Team.Click Confirm → Save.
Step 6: View the Skill Matrix
Navigate to SmartSkills → Skill Matrix.
Select your team (e.g., Monterey Packaging Line 1 Filler Team).
You’ll now see that the assigned skills appear for all team members.
If assigned by job title, only the relevant operators will see those skills.
Step 7: Manage Individual Learning Journeys
You can customize and track each operator’s progress through their learning journey.
Click on an individual operator (e.g., Dan).
Click Learning Journey to view their skill list.
You can:
Reorder skills by priority (e.g., move Low-to-High Cleaning before Fire Safety).
Set Due Dates for each skill assessment.
Click Save. The changes will appear in both the admin and operator views.
