- Minimize downtime: Faster access to solutions means less time spent troubleshooting and more time being productive.
- Reduce Training time: Intuitive, visual guidance accelerates onboarding and reduces the reliance on lengthy manuals.
How To:
- L2L Support will need to enable the integration and add your Swipeguide workspace to Dispatch.
Admins and Editors will need access to the Swipeguide Admin workspace.
- You'll want to make sure you have Document Categories created. Within Document Categories you can choose to set up approval/ publisher workflows.
- From Dispatch, Documents list view, click 'Add New > Guides' OR from the Swipeguide Platform, begin creating - the guides will instantly sync to the Documents list in Dispatch!
- You are now in the Swipeguide Platform.
Create:
- You will need to create a name for your Guide: Note: Keep the end-user in mind and the context in which they will use this Guide by focusing on:
- Guide Findability: End-users should easily find this guide when checking all guides on your Platform Workspaces.
- Choose a representative title for the topic of the guide (e.g. the machinery or the procedure name)
- Use recognisable terms that are well-known to your end-users
- Guide Usability: End-users should easily understand from the title of your guide what they can use it for.
- Make a clear connection between the title and the procedures described inside
2. Choose a language for your guide. A Guide can be written in 1 language at a time, and it can be translated to multiple languages afterwards.
3. Next you'll create an Instruction. Think of instructions as tasks part of an entire process. When you choose a process, you want to create instructions for, just break down the entire process into smaller tasks and map them all out in the logical order needed in order to meet the goal of the procedure. Each task will then take form of an instruction title.
- Instructions are detailed, step-by-step guides that explain how to perform a specific job or task.
- They provide information, context, and guidance to individuals, outlining the necessary steps and procedures.
- Instructions are often used for training, onboarding, and as a reference for employees.
- Create all the steps per Instruction needed to execute each task well
- Map out the additional information needed at each step under Step Notes
4. You can also create topics and bundle Instructions that are related to each other under their Topic (e.g., Getting Started).
5. Publish your Guide. Note: If your Document Category has Approvals enabled, it will not publish the guide. The older version of the Swipeguide will be used until the Guide has been approved in Dispatch.
6. Now that the guide and instructions are published, you can either click the pop up at the bottom of the page to View the Document in Dispatch, or use the grid menu icon in the upper right.
Back in Dispatch; you will see the Documents List view, along with the Guide you created and the Instructions associated beneath it.
Using Guides & Instructions in Dispatch
Technicians can view that instruction from the Dispatch Portal and Op Console areas inside an embedded lightbox without leaving their page. When viewing from Classic Dispatch or the Op Portal, this will open a separate tab.
- You can link or attach this document instruction like any other document in L2L, such as by Area/Lines/Machines, Dispatches, Products etc.
2. Within a Dispatch Checklist Document, you can add the Instruction to task types.
3. QR Codes: At the top of the Document Detail page in Dispatch, you'll see a QR code in the top right. Click the code, you can print and affix the code to a physical location or simply share it with coworkers in an email or text.
Troubleshooting and FAQs
- Should you need to make Edits to the Guide or Instructions, click into it and click 'Edit Guide Content' or 'Edit Instruction Content'. Note: If you choose to only Edit the Instruction; you will need to Publish the entire Guide to do so.
- Deleting content in Swipeguide, removes it from L2L. However, when you delete the instructions within a Guide, you'll need to re-publish the guide for it to take effect.
Note: If you have finished your instruction integration and you open this and receive "this content is blocked, contact the owner," please reach out to L2L support, as there is a site setting we have to adjust. Allow iframe
