Overview

Setup > Users is used to create user accounts and configure access based on how each person uses L2L.

Prerequisites & Preparation

  • Required Permissions: User Manager or Administrator

Step-by-Step Configuration

  1. Navigate to the Menu: Go to Setup > Users.

  2. Initiate Creation: Click Add New to create a new user account.

  3. Enter Basic User Information:

    • Username: Enter a username.

    • First Name / Last Name: Enter the user's name.

    • Password: Create a password and enter it again in the repeat password field.

    • Force Password Change: Select this option if the user should create a new password at next login.

    • Active: Check this box to allow the user to sign in.

    • Lock Settings: Use this if the user should not be able to change their own settings.

    • Email Address: Enter an email if the user should receive notifications by email.

    • Phone Number: Optional.

    • SMS Email Address: Optional — use this if the user should receive text notifications via an email-to-SMS gateway.

      • Note: An SMS email address is formatted like a regular email address but uses a cell phone number (e.g., a Verizon number 555-555-5555 becomes 5555555555@vzwpix.com).

  4. Define Access and Security Settings:

    • User Group: Determines the type of access the person needs — User (standard access), Resource (people who can be dispatched), or Administrator (setup/administrative access). To give someone visibility into Dispatch screens without making them dispatchable, assign the Resource group and leave Resource Sites blank.

    • Sites: Controls which site records the user can access. In multi-site environments, assign only the sites the user needs.

      • Note: A user with access to multiple sites logs in with one username/password and selects the site after login, and can switch sites afterward without logging out.

    • User Authorization Groups: Control module-level access; visible only to Administrators. Assign the groups matching the modules the user needs.

    • LDAP/SAML Configuration: Relevant only for organizations using LDAP or SAML SSO. Select the applicable configuration only after SSO has already been set up for the site.

  5. Define Resource-Only Fields (applicable only if the user is set up as a Resource):

    • Resource Sites: Determines which sites can dispatch this resource.

    • Resource Rate: Select from rates configured in Setup > Resource Rates, if labor cost tracking applies.

    • Resource Category: Select from categories configured in Setup > Resource Categories, used to group/identify resources in Dispatch views.

    • Additional Display Information: Optional.

    • Trade: Identifies the person's craft, specialty, or labor type; values come from Setup > Trades.

      • Note: A Trade must be assigned for the resource to appear in schedule assignment dropdowns.

    • User Roles: Sets the roles the user may take on a production line, used in the Skills Module; configured under Setup > User Roles.

    • User Lines: Identifies the production lines the resource can be assigned/dispatched to (only for users working as resources on specific lines).

    • Shift: Choose the applicable shift.

    • Preferred Language: Select a language.

  6. Save & Finalize: Click Save.

    • Note: User photos can only be added after the user is created — return to the user record after saving to add an image.

Troubleshooting: If you receive a "user already exists" error but can't identify the existing record, filter the Users list by Inactive or All and search again.This section is informational and is not part of creating a new user.

User Export: 

You can export site users as well as global users. When you use Site Export, the export includes Trade and Shift.
