Use Setup > Users to create a user account and configure access based on how the person uses L2L.
Basic user information
- Enter a Username.
- Enter First Name.
- Enter Last Name.
- Create a password and enter it again in the repeat password field.
- Select the force password change option if the user should create a new password at the next login.
- Check Active to allow the user to sign in.
- Use Lock Settings if the user should not be able to change their own settings.
- Enter an email address if the user should receive notifications by email.
- Add a phone number if needed. This field is optional.
- SMS Email Address is optional. Use it if the user should receive text notifications through an email-to-SMS gateway. Note: An SMS email address is formatted like a regular email address, but uses a cell phone number. For example, if your cell phone number was 555-555-5555 and your mobile carrier was Verizon, your SMS email address would be 5555555555@vzwpix.com. More information on SMS gateways is available here.
Access and security settings
- User Group determines the type of access the person needs. Choose User for standard access, Resource for people who can be dispatched, and Administrator for users who need setup or administrative access. For more detail about these options, see this page. If someone needs visibility into Dispatch screens but should not be available for dispatching, assign the Resource group and leave Resource Sites blank.
- Sites controls which site records the user can access. If your company has one site, only that site appears. In multi-site environments, assign only the sites the user needs.
- User Authorization groups control module-level access in the system. Administrators should assign the authorization groups that match the modules the user needs to access. This field is visible only to Administrators. For detailed role and permission guidance, see the Comprehensive Guide to Access in L2L: Users, Resources, Administrators.
- LDAP/SAML configuration is relevant only if your organization uses LDAP or SAML single sign-on. Select the applicable configuration for the user only after SSO has already been set up for the site. For more information, see this article.
Resource-only fields
These fields apply only when the user is set up as a Resource.
- Resource Sites determines which sites can dispatch this resource. The available sites depend on your company's L2L setup.
- Resource Rate contains rates configured in Setup > Resource Rates. Select a rate when labor cost tracking applies to the resource.
- Resource Category contains categories configured in Setup > Resource Categories and is used to group or identify resources in Dispatch views.
- Add additional display information if needed. This field is optional.
- Trade identifies the person's craft, specialty, or labor type used for dispatching and labor organization. Available values come from Setup > Trades.
- User Roles sets the roles users may take on a production line. These roles can then be used in the Skills Module for grouping skill requirements on production lines. You can set them up under Setup > User Roles.
- User Lines identifies the production lines the resource can be assigned or dispatched to. Configure this field only for users who work as resources on specific lines.
- Choose the shift.
- Select a preferred language. For more information on helping translate L2L, see this page.
Troubleshooting
If you receive an error that says "user already exists" but you cannot identify the record, filter the Users list by inactive or all and search again.
- Click Save.
- Note: Adding User Photos: Images of users may only be added after the user is created. After you click Save, return to the user record to add the image.
This section is informational and is not part of creating a new user.
