L2L Support can assist in mass uploading checklists to your site by uploading using our Checklist import sheet found at the top of the Checklist Import screen. Additionally, existing checklists can be updated through the upload process as long as the external I.D. for these existing documents is provided on the upload sheet. You'll find the ability to import checklists under the Standard Work/ Document Center tab.
Checklist Import:
Please note: You can only import one checklist at a time.
Under Option 1, there is a template for use for building your spreadsheet.
Preparing your Spreadsheet:
On your template, you'll see a top row with the 'Header' names.
Column A, 'Name': This column is the simply the name of the Checklist.
Column B, 'Description': This column is a brief description of what the Checklist entails.
Column C, 'Category Code': This column needs to be populated with the 'Category Code' for the Checklist to be associated with. Categories will need to be set up ahead of time, as this field is required.
Column D, 'Require Complete All': This column requires a yes or no response and is used when all questions must be answered to close the checklist.
Column E, 'Require Dispatch Closed': This column requires a yes or no response and is used when the checklist must be closed to complete and close the Dispatch it's tied to.
Column F, 'External I.D.': This column is another naming convention and can be the same as column one. If this is an update to existing checklists, the checklist will already have an external ID. You can find that ID when you export checklists from the Document Center.
Column G, 'Task Text': This column is the information that you want answered.
Column H, 'Task Type': L2L has multiple types of answers to tasks to choose from depending on the question asked; text, datetime, dropdown, checkbox, input, yes_no, longinput, numeric
Column I, 'Allow not Applicable': This option allows your users to not answer that question if it doesn't apply to the situation. The column needs a yes/no response.
Column J, 'Dropdown Values': This column is used for the task type of 'dropdown' from column G. If you've selected dropdown, this is where you'll populate the answers to choose from using a comma. If you don't have any dropdown task types, enter 'None' in the column.
Column K, 'Reject Limit Low': This column is the low value required to launch a Dispatch for a Numeric Input question.
Column L, 'Reject Limit High': This column is the high value required to launch a Dispatch for a Numeric Input question.
Column M, 'Control Limit Low': This column is the low value for a lower control limit in a Numeric Input question.
Column N, 'Control Limit High': This column is the high value for the higher control limit in a Numeric Input question.
Importing your Spreadsheet:
Select the file you just created from the template and click 'Next Step'.
The next screen gives you an overview of the top three rows of your spreadsheet. There is also a dropdown to select sheets from the spreadsheet if the intended one is not the default.
Next, click 'Do Import'.
Once the import is complete, you'll see your import results. The results will let you know if the import succeeded or list any errors if it did not.

Preparing your Spreadsheet:
On your template, you'll see a top row with the 'Header' names. These names will be used in the table mapping fields for the import. It's necessary that these names not be changed. The next row is a brief description of what information is to be populated in that column. The red boxes are the columns that are required in order for the import to work.
Column A, 'Name': This column is simply the name of the Checklist.
Column B, 'Description': This column is a brief description of what the Checklist entails.
Column C, 'Checklist I.D.': This column is another naming convention and can be the same as column one. Unless this is an updated checklist, then the checklist will already have an ID. You can find that ID when you export checklists from the Document Center.
Column D, 'One Task per Row': This column requires a yes or no response. Yes, is used more frequently and is for when you have listed one checklist item per row. No, is used when you have multiple tasks/ checklist items listed in a single row.
Column E, 'Task Number': This column is required if 'one task per row (column 4)' is true. You will need to put a number here for each task. If you have several tasks for one checklist, you'll list 1-X (the last number in your task list). For example, if you are creating a checklist with 5 tasks, you'll name column A, rows 2-6 the same, input yes for column D, rows 2-6; and list 1,2,3,4,5, for column E, rows 2-6. This will populate your checklist within L2L with 5 items to be answered for 1 checklist.
Column F, 'Task Text': This column is the information that you want answered.

Importing your File:
When clicking on the file import button, you'll be given two options:
1. Import a New File. In most cases, you are going to choose a new file to import. To do so, you'll need to click on the 'Choose File' button and browse your computer for the file you want to import.
2. Select an Existing File to Import. This option is rarely used but is a good history of imports that have been done in the past.
After selecting your file, you'll click on the 'Next Step' button.
On the next screen, you'll see the file you are importing as well as the top three rows to reference while filling out your
Table Mapping Fields.
In Step 2, you'll see you can filter to certain rows or columns that you are importing. This is rarely, if ever used.
In Step 3, select the table to import the data to. This will be the checklist load import table.
In Step 4, you will need to map your fields to match your spreadsheet. Each Table Mapping Name should match the Column drop-down name. Sometimes you will have a column that doesn't need to be imported, and you can empty string or null that column header and click the 'Do Not Import' box. Once all of your fields have been mapped, you should see a 'Do Import' button.
