Learn how to create a team and manage users in your team

AĀ TeamĀ is a group of users in the platform. Platform Admins can create teams based on departments, workstations, machines, or other categories. Some examples of teams:

  • One team can publish content on multiple workspaces
  • One workspace can have published content from multiple teams

šŸ…Ā For Smart Skills:Ā Teams allow you to assign skills to entire groups of users. Admins and managers always view a skill matrix per team.

  • Assign skill profiles to entire teams or only certain job titles within a team
  • The selected skills will show up in that team's skill matrix
  • Users will see skills grouped by teams in their Smart Skills app

Team Hierarchy

You can create a Team Hierarchy by usingĀ Sub-Teams. This allows you to match the team structure to that of your organizational structure.

When creating or editing a team:Ā You can decide to have the team 'belong' to another team. This will create a sub-team that is grouped under an already existing team.

  • Only Platform Admins can create new teams

  • You must be an Admin of a team to edit it

  • In the dropdown list under 'Belongs to team', you will only be able to select other teams you are an Admin of


The new team 'Amsterdam Quality Control - Line 14' is now a sub-team under the team 'Amsterdam Quality Control'

Create a Team or Sub-Team

1. Create New Team

  1. ClickĀ User ManagementĀ in the main menu

  2. SelectĀ Teams

  3. Click the "+" button to add a new Team

  4. Enter theĀ Team Name

  5. (Optional) To create aĀ Sub-Team, select the Team to which it should belong

  6. ClickĀ NEXT

2. Add Users

  1. Add users to your team by adding their name, role, and (optional) job title

  2. Remove users from the team by clicking the trash bin icon next to their name

3. Set Guide Approval

If you are creating this team for Smart Skills only, you can skip this section.

4. Set Notifications

If you are creating this team for Smart Skills only, you can skip this section.

  1. Select who should receive guide-related email notifications

    • Everyone on the team:Ā all users will receive notifications

    • Team members working on the guide:

      • Feedback will only be sent to the guide assignee

      • Approval workflow notifications will only be sent to the guide assignee, the approver(s), and the approval requestor

  2. If you activated Guide Approval, you can also set up a reminder cycle for guide review. Select one of the timeframes in the dropdown to set how often you'd like to review the guides assigned to this team.

  3. ClickĀ NEXT

5. Connect Team to Workspace

  1. Choose the Workspace(s) this team should have access to

  2. Click SAVE

Your team is now created!

Add Users to Existing Team

  1. ClickĀ User ManagementĀ in the main menu

  2. SelectĀ Teams

  3. Click on the Team you want to manage

  4. Go to theĀ UsersĀ tab

  5. ClickĀ Add another user
    ​Tip: If you can't see this button, zoom out or scroll down

  6. Select theĀ UserĀ from the drop-down list
    ​Tip: Type the name of the user to easily find the account in the list

  7. Select theĀ RoleĀ the user should have in this Team

  8. (Optional)Ā Select theĀ Job TitleĀ the user should have in this Team

  9. ClickĀ ADD TO TEAM

Remove Users from a Team

  1. ClickĀ User ManagementĀ in the main menu

  2. SelectĀ Teams

  3. Click on the Team you want to manage

  4. Go to theĀ UsersĀ tab

  5. Click the 'X' icon next to their name to remove the user from this team
