Guides - Feedback Functionality

Overview

Guides' feedback functionality lets teams submit, track, and act on feedback directly within standard operating procedures (SOPs) and guides. End users can flag questions, errors, or improvement ideas on any step, and Editors and Admins can review, resolve, and track that feedback without leaving their normal workflow.

Key Features

  • Direct navigation links: Email notifications include links that take Editors straight to the relevant step in the Instruction Builder where changes are needed.

  • Detailed feedback drawer: Shows contextual information including the submitter's identity, the specific guide and step number, and the requested change.

  • Centralized feedback log: Lets Editors and Admins review and manage all pending feedback items in one place.

  • Guide activity tracking: Makes it easy to review completed changes and confirm that feedback has been resolved.

Submitting Feedback (End Users)

End users communicate with the Editors of a guide through the Feedback function in the app by leaving remarks or notes about specific instructions. These notes are not visible to other end users — only to Editors and Admins — which makes the feature a safe channel for reporting issues or suggesting improvements.

  1. Open any step within a guide.

  2. Click Feedback and enter your notes.

  3. Submit to notify the team.

Feedback can be left anonymously, or with a name attached. Logged-in users have their name populated automatically, so no extra step is needed to identify yourself.

Setting Up Notifications (Admins)

Before feedback starts coming in, Admins should configure who on a team receives feedback notifications.

  1. Go to User Management and select Teams from the platform’s main menu.

  2. Click on the specific team you want to manage.

  3. Open the Notifications tab.

Choose one of two notification scopes:

  • Everyone on the team: all feedback notifications are distributed to every team member.

  • Team members working on the Guide: notifications are limited to the users actually assigned to that guide.

If “Team members working on the Guide” is selected, notifications from user feedback on a given guide are shared only with that guide’s Assignee.

Reviewing and Resolving Feedback (Editors & Admins)

From an email notification

  1. Open the notification email.

  2. Click the link to launch the Instruction Builder at the relevant step.

  3. Check the feedback drawer for full details, make the needed edits, and confirm completion in the Activity Log.

Directly in the platform

  1. Open the guide.

  2. Click the guide menu.

  3. Select View Feedback.

  4. Review feedback, organized by date and time, at the guide, instruction, step, or checklist level.

Feedback that isn’t tied to a specific step was submitted from the guide’s landing page rather than an individual instruction.
