Creating Document Revisions
Whenever you click Save and Create Revision, you must choose one of three distinct methods to deliver your content:
Option 1 – Upload a File: Upload a file (such as a PDF, Word doc, Excel sheet, or video) directly from your computer to the cloud repository. Video files must be under 200-MB. PDF format is highly recommended for cross-platform compatibility.
Option 2 – Create a Checklist Template: Build an interactive, digital checklist directly in the platform. Provide a brief summary of the changes in the revision field (use 'Initial Revision' for version 1.0) and save.
Option 3 – Link to an Existing Web File: Best used if your company hosts files on a secure corporate server (e.g., SharePoint, Lotus Notes) or if you want to link directly to an external vendor manual URL (
https://...). Avoid linking to local PC drives (C:\), as external users won't be able to open them.
Admin Tool: Uploading Multiple Documents
If you possess Admin or Resource permissions within the Standard Work/Documents module, you can utilize the Upload Multiple Documents tab to mass-import records.
Select your target Document Category from the dropdown menu.
Choose a format: 'upload as files' (opens standard formats like Word/Excel) or 'convert to checklists' (automatically transforms the uploads into interactive checklist modules).
Choose your files and click UPLOAD FILES.
⚡ Fast-Track Publishing: Uploading files via the bulk tool automatically publishes them immediately, completely bypassing any standard document approval workflows set for that category.
Troubleshooting: "Failed to save my Checklist" Error
If you receive an error stating you must "select a valid Trade when a Dispatch Type is selected" while saving a checklist template, it means you have defined strict operational boundaries within your tasks (such as Out of Tolerance or Reject Limits).
The Cause: By setting numeric boundaries, you implicitly instructed the system to automatically launch a dispatch if a user records a reading outside of parameters.
The Fix: The system requires a clear operational path to log that automated dispatch. If you configure a checklist task to trigger a specific Dispatch Type, you must also designate a corresponding Trade responsible for responding to it (and vice versa) before the platform will permit you to save your template.
